The whiteboard experience is the same on every plan. What changes is how many boards you can have at once, and whether people outside your workspace can draw on a shared one.

Archiving frees a slot
Boards you archive don't count toward the limit. An archived board:
- disappears from the main Whiteboards list, but appears under Archived
- still opens normally by its link, and still works
- can be brought back with Unarchive at any time
So a Free workspace isn't really limited to three boards ever β it's limited to three active ones. Finish a workshop, archive the board, start the next.
What fits on one board
A board holds up to 5,000 items β every shape, sticky note, arrow, line, text box and image counts as one.
That is a lot: a busy retrospective for a team of ten uses a couple of hundred. If you do reach it, you'll see a message and the board simply stops growing β nothing on it is lost or changed. From there you can:
- group finished sections into frames and tidy up
- delete what the session has moved past
- carry on the next phase on a second board
If you go over the board limit
Nothing is ever deleted and no board is locked. You keep everything you've made and can open, edit and share all of it. You just can't create a new board until you archive one or move up a plan.
Frequently asked questions
I'm on Free and I've used my three boards. What are my options?
Archive one you've finished with β archived boards don't count, and stay fully usable by their link. Or upgrade for more.
Do archived boards really not count?
Correct. Only boards in your active list count toward the plan limit. Archiving is the intended way to keep a finished board without spending a slot on it.
What if I downgrade and I'm over the limit?
Nothing is deleted and no board is locked. You keep everything you have and simply can't create new boards until you're back under the limit.
Does the item limit differ by plan?
No. Every plan gets the same 5,000 items per board, the same drawing tools, the same templates and the same live collaboration.
