The inbox, statuses, filters, turning a response into a task, letting respondents edit, and auto-deleting old responses.
Open a form and switch to the Submissions tab.
The inbox
Responses arrive with the status New. The tabs at the top — New, Reviewed, Converted, Archived — show live counts and filter the list. Next to them you can filter by date range and, once you have named share links, by link.
Each row previews the first text answer, so a job application shows the applicant's name. Click a row to open the full response.
Nothing here slows down with volume: the inbox is built to hold tens of thousands of responses per form.
Reviewing a response
The response drawer lists every answer as it was given. Emails and phone numbers are clickable; uploaded files download; signatures show as images. It also shows which share link it came through.
Change the status from the dropdown as you work through them: Reviewed for "seen", Archived for "not this one".
Turning a response into a task
Click Convert to task and pick the project. Kokar creates one task there — titled from the first text answer, with every other answer in the description and files attached — marks the response Converted, and opens the task. You need permission to create tasks in that project.
Responses are never converted automatically. A form that collects a thousand applications stays a thousand responses, not a thousand tasks.
Letting respondents edit
Settings → Submissions → Allow editing after submit gives each respondent a private edit link on their thank-you screen. Set how many edits are allowed (1–3). Edits must pass the same validation as the original.
Auto-deleting responses
Settings → Data retention deletes responses for you, on every plan:
- After a date — once the date passes, every response of the form is deleted daily, including any that arrive after it. Clear the date to keep responses.
- After N days — a rolling window: responses older than N days are deleted daily.
Deletion removes uploaded files too. Use it to honour "we keep applications for 90 days" without remembering to.
Frequently asked questions
A respondent asked to change their answer. What can I do?
Turn on "Allow editing after submit" in Settings → Submissions. They get an edit link on their thank-you screen and can revise their response up to the number of times you allow (1–3). Once a response has been converted to a task it can no longer be edited.
Can I stop the same person responding twice?
Set "Maximum responses per person" in Settings. It is enforced for signed-in respondents; for anonymous ones it is a courtesy limit in the browser, since there is no honest way to identify an anonymous person.
Where do converted tasks go?
Into the project you pick at the moment you convert. The task's description lists every answer, files are linked, and the task links back to the response.
Are responses deleted when I delete the form?
The form goes to the trash. Restore it and everything is back. "Delete forever" removes the form, its responses and every uploaded file.
